“Events are an escape. You’re creating a fantasy,” says Marjorie Randell-Silver, owner and executive producer of Needham, Mass.-based Copper Leaf Productions. “I feel strongly that we want people to feel uplifted and transported into a different place for a little while.” Randell-Silver created just that for this benefit event sponsored by Meyer Sound Laboratories in support of the creation of Mark Morris’s dance work, “Romeo & Juliet, On Motifs of Shakespeare.” A tent, such as this one by Raj Tents, is just one of the many elements that go into creating a successful outdoor event. “Cost-conscious” isn’t the first word this event calls to mind, but New York-based Shawn Rabideau Events & Design found ways to scale down the party without losing the upscale feel. The company used its own inventory of vases, votives that were already provided by the venue, in-season flowers, less labor for set-up and minimalistic design. The company also partners with vendors to find prices that clients’ budgets can accommodate. All of this is part of the new package pricing the company introduced recently in order to be able to provide high quality for events with reduced budgets. “It really is a win-win for all involved in the process,” says Shawn Rabideau, president of the company. Copper Leaf Productions designed and managed this 40th anniversary benefit event for the University of California, Berkeley’s Lawrence Hall of Science. A bio-diesel generator was used, and by shading the tent with tarps during the day, Copper Leaf reduced the amount of energy needed for cooling, among other eco-friendly elements. “It was a dramatic event, but it wasn’t splashy,” said Marjorie Randell-Silver, owner and executive producer at Copper Leaf. “It has always been at the front of my brain to make sure that events are wonderfully creative and cost-conscious.” Photo by Allan Ayers, courtesy of the Regents of the University of California.

Chicago-based Meetinghouse Companies Inc. gave attendees just the right thing for this winter event — Haute Chocolat. An annual holiday party for 60 guests, the event included chocolate martinis, chocolate elements incorporated into the dinner menu, and a wine and chocolate pairing. “We wanted the event experience to be unique and contemporary, and supportive of the chocolate theme,” says Meetinghouse’s Deborah Borsum, who designed the event along with Robert Sivek. “The ‘Tiffany’ blue and brown color combination worked together beautifully to create a warm yet exciting visual presentation.” The event even included a “Jeopardy”-style game show that incorporated a chocolate segment where contestants competed for chocolate prizes with correct answers to chocolate-related questions. “Guests loved that the ‘chocolat’ theme provided them with so many wonderful ‘taste’ experiences in addition to the fun décor and entertainment,” says Borsum. This photo of 2008 Grammy Salute to Industry Icons gala, executive produced by The Recording Academy, won the 2009 Event Solutions Cover Contest for its elegant yet striking event design and the balanced composition of the image. “It is deeply satisfying to see a vision become reality just minutes before the doors open to an event — which is when this photo was captured,” said Branden Chapman, vice president, production and process management, for The Recording Academy. “Although a picture can never truly capture the magic of attending an event in person, the level of detail and planning that goes into this particular event is evident in this image and is due in large part to the collaboration of many hard-working and talented partners.” Photo by Line 8 Photography.
